Guidance on how to manage annual flu vaccinations

Zipline helps make the process of collecting annual flu vaccination data easy.

Your Infection Prevention Control Policy

The first step is determining your infection prevention control policy, which will dictate your compliance timeline and how you manage the different phases of the process in Zipline.

Managing Phases of the Compliance Timeline

The below is a hypothetical example, assuming flu vaccination will be mandatory for a period of the year for certain workers.

  • Phase 1, Early Collection Period (e.g. April 1)

  • Phase 2, Normal Collection Period (e.g. May 1)

  • Phase 3, Fully Mandatory Period (e.g. June 1)

  • Phase 4, Post Flu Season (e.g. October 1)

Each phase will mark a transition to the compliance controls in Zipline and the messaging to workers. Below is our recommended set up, which can be tweaked based on your unique infection prevention controls.

Phase 1, Early Collection Period (e.g. April 1)

  • If not already removed, any requirement relating to the previous flu season should be removed from the relevant compliance flows.

  • Add a new requirement for the target flu season to relevant compliance flows. The requirement should be optional for both candidates (applications) and ongoing compliance (policies).

  • Our Campaigns feature can be used to message employees about the upcoming flu vaccination requirements, including opportunities to receive a vaccination at an onsite clinic (where relevant).

Phase 2, Normal Collection Period (e.g. May 1)

  • In this phase, you may require candidates to have had their flu vaccination (as it is very close to the fully mandatory period), or else be granted a temporary exemption if they need more time.

  • The requirement should be changed to required.

  • Use our scheduling feature to set a future enforcement date for ongoing compliance (policies), i.e. the fully mandatory period, should you wish to give employees extra time compared to candidates.

  • Campaigns messaging and/or frequency may need to be updated to reflect any upcoming critical dates.

Phase 3, Fully Mandatory Period (e.g. June 1)

  • No changes in settings are required.

  • Campaigns messaging and/or frequency may need to be updated.

Phase 4, Post Flu Season (e.g. October 1)

  • If the peak flu season is over and vaccination is no longer required, the requirement can be removed from compliance flows, or switched to optional.


Setting Up Your Flu Vaccination Requirement

A new requirement needs to be added to a compliance flow as each flu vaccination season has a specific requirement. This means that the previous year needs to be removed.

There are two options for managing flu vaccinations in Zipline.

Self-Managed Check

Zipline AI and our compliance team collect and scan the inputs, then take the appropriate actions based on our standard protocols.

Required Check Protocol

  • Allows workers to submit their flu vaccination documentation, or request an exemption (with appropriate documentation).

  • This must be completed to proceed, with the exception of where our scheduling feature has been used to set a future enforcement date for ongoing compliance (policies).

  • Immunisation History Statements and pharmacy certificates with flu vaccinations issued on or after March 1 of the relevant year will be approved. Most other kinds of documentation, including exemption requests, will be passed to you for review.

Optional Check Protocol

As above, but it can be skipped by the worker.
