How the kiosk recognises returning people.

When someone enters their mobile number, the kiosk finds every profile linked to it. If more than one profile is current, the person chooses the one for today's visit, so the kiosk never has to guess.

The right profile for every visit

When someone enters their mobile number, the kiosk finds every profile linked to it. If more than one profile is current, the person chooses the one for today's visit, so the kiosk never has to guess.

This article covers kiosk app 3.0.1 with the November 2026 updates.

The short answer

  • Every profile is separate. A visitor, a staff member, a Contractor Profile and an Original Contractor Profile are four different profiles, even when one person holds all of them.

  • One current profile opens straight away. If a number has only one current profile, it goes to that profile's "What do you want to do today?" screen. This happens even if the number also has archived or offboarded profiles. If there are two or more, every current profile gets a card on the "Choose your profile" screen, most recently used first. The "I'm here for another reason" button covers any other visit type.

  • A profile that's still checked in opens first, with the "Check out" button. This applies to visits opened in the last 24 hours.

  • Archived and offboarded profiles aren't offered, unless they're still checked in and need to check out.

Profile types

A lookup by mobile number returns every profile linked to that number. One person can hold several of these. Each is a separate profile with its own history and compliance.

  • A new person sees the buttons in this order, but only for the visit types you've switched on for the site. A returning visitor finds "I'm here to take a resident out" under the "I'm here for another reason" button.

  • Quick Start compliance is tracked in your portal. The kiosk checks a Contractor Profile's compliance on every visit. If there's a gap, staff need to approve the visit or the person sees a warning, and the badge shows EXEMPTED. Staff, and volunteers or students added in your portal, are stopped for compliance only when your site's check-in settings require it.

  • Any visit type can also include your site's own check-in steps, such as declarations and questions. These apply whether or not Quick Start compliance is used.

  • If the site has no contractor categories, it shows one "I'm a contractor" button. That button creates a Contractor Profile where those are switched on, and an Original Contractor Profile otherwise.

Two kinds of contractor profile

A contractor can hold either kind of profile, or both. They're separate profiles, and the kiosk never turns one into the other.

Contractor Profile (going forward)

  • This is how contractors are set up from now on. The profile is linked to one or more suppliers.

  • Check-in asks which supplier they're here for, checks Quick Start compliance, and asks for staff approval when needed.

  • On the kiosk, the card reads "Contractor". A new person taps the "I'm a contractor" button.

Original Contractor Profile (the earlier way)

  • This is the earlier way of recording contractors. The profile is saved against a category you set up, such as GP or External Contractor.

  • Check-in has no supplier step or Quick Start compliance, only your site's own check-in steps.

  • On the kiosk, the card shows the category, such as "GP / Private Health Provider". A new person taps that category's button, such as "I'm a GP / Private Health Provider".

What people see

These example screens are for Alex Taylor's mobile number. It finds two profiles: a Contractor Profile and an Original Contractor Profile in the GP category.

1. Two profiles on the number. The "Choose your profile" screen. The Contractor Profile's card reads Contractor, and the Original Contractor Profile's card shows its category.

2.After tapping "I'm here for another reason". The "What brings you in today?" screen lists visit types with no profile on this number yet, plus other categories. Choosing another category checks in on the existing Original Contractor Profile.

3. One profile on the number. The "What do you want to do today?" screen, with a check-in button for the category that profile last used.

4. Still checked in. The same "What do you want to do today?" screen, led by the "You're still checked in." message and the "Check out" button. In this example it's Alex's Contractor Profile.

5. A new person walking in. The "What brings you in today?" screen, with a button for every visit type the site uses, visitor first.

These are shown in the new kiosk interface with sample data. The classic interface offers the same choices.

A possible future change: depending on customer feedback, we may stop showing an Original Contractor Profile's card when the number also has a Contractor Profile. People would then use their Original Contractor Profile by tapping "I'm here for another reason" and choosing a category on the "What brings you in today?" screen. That screen could also show the Original Contractor Profile itself.

What happens

"I'm a visitor"

They enter their name and check in. A visitor profile is created

"I'm a staff member"

They enter their name and check in, unless your settings require new staff to be set up first

"I'm a contractor"

They enter their name and choose or type their supplier. Staff approve the visit and a Contractor Profile is created. The kiosk tells them they'll receive a text to finish their compliance

One per category, such as "I'm a GP / Private Health Provider"

They enter their name and check in under that category. An Original Contractor Profile is created

"I'm a volunteer"

They enter their name and check in

"I'm a patient"

They enter their details and check in. A patient profile is created

"I'm here to take a resident out"

They enter their name and the resident's name, then sign the resident out

Contractor Profiles and their suppliers

A Contractor Profile can be linked to several suppliers, so every visit shows the "Who are you here on behalf of?" screen.

  • Their own suppliers are listed first. They can search for another supplier, or tap "My supplier is not listed" and type its name.

  • A supplier that hasn't approved them yet is still listed. Choosing it needs staff approval, and the supplier is asked to approve them.

  • A supplier that declined them isn't listed as theirs. Choosing it again needs staff approval, and the supplier is asked again.

  • When a compliance item isn't current, the kiosk asks for staff approval. Depending on your site's settings, this is either a staff PIN or a warning they can continue past. Either way, the badge shows EXEMPTED.

Moving between contractor profiles

The kiosk never turns an Original Contractor Profile into a Contractor Profile, or the other way around. They're separate profiles. A number that has one of them won't be offered the button that creates the other.

From an Original Contractor Profile to a Contractor Profile

  1. Their supplier adds them as a Contractor Profile. Until step 2 is done, an Original Contractor Profile with a category shows next to it and skips supplier compliance. An Original Contractor Profile with no category isn't shown.

  2. Archive their Original Contractor Profile. The kiosk then opens their Contractor Profile directly.

We recommend archiving Original Contractor Profiles as people move to Contractor Profiles. This keeps your contractor records tidy, so people don't hold an active contractor profile of each kind. Archive the Original Contractor Profile only after the Contractor Profile exists. A number with an archived Original Contractor Profile and no Contractor Profile has no contractor option at the kiosk.

From a Contractor Profile to an Original Contractor Profile

When all of their supplier relationships are archived, their Contractor Profile is no longer offered. On their next visit they choose a visit type again, and choosing a category creates an Original Contractor Profile.

Setting up your kiosk

These settings help make the choices clear for people at your front desk.

  • Name categories for who they're for. A new person sees the "I'm a contractor" button next to each category's button. If a supplier's contractor picks a category instead, they get an Original Contractor Profile. They then skip supplier compliance and won't be offered the "I'm a contractor" button on later visits.

  • Rename categories rather than recreating them. Editing a category's name keeps everyone in it. If you create a new category instead, people saved under the old one have to choose again on their next visit.

  • Retire Original Contractor Profiles from removed categories. When the number also has a Contractor Profile, these aren't shown. On their own, they show as Contractor and ask for a current category. Archive them, or have the supplier add those people as Contractor Profiles.

  • Not using categories? An Original Contractor Profile with no category isn't shown when the number also has a Contractor Profile, so those people check in as contractors.

  • Keep staff mobile numbers current. Staff are recognised by the number on their profile, so if they use a different number they'll look like a new person.

  • Badges follow the visit type. When badge printing is on, each visit type prints its own badge. Original Contractor Profile badges read Contractor, with the person's company.
