Your invitation email from Zipline
Once you've registered, you'll have access to the Supplier Portal, where you can manage your workers and your compliance requirements in one place.
What you can do in the Supplier Portal
From the Supplier Portal, you can:
Add your workers: one at a time, or in bulk by uploading a CSV file.
Manage your own compliance: view and upload any documentation required from your business.
Track your workers' compliance: check each worker's status and take action where needed.
Invite your workers to comply: choose when your workers are notified and asked to complete their compliance checks.
Adding your workers
Before your workers can complete their compliance checks, you need to add them to your account. You can add workers one at a time, or upload many at once using a CSV file.
Add a single worker
❶ From the left-hand menu, go to the Compliance tab.
❷ Click Add an Employee.
❸ Enter the worker's details, including their name, role, and mobile number so they can be contacted.
❹ Click Add to add them to your account.
ℹ️ You can choose when to notify your workers about their compliance: send the invite straight away when you add them, or hold off and invite them at a later date that suits you.
Add multiple workers with a CSV file
If you have a lot of workers to add, uploading a CSV file is the fastest way to add them all at once.
❶ From the Compliance tab, click Import CSV.
❷ Download the CSV template provided so your file uses the correct column headings.
❸ Fill in the template with each worker's details, one worker per row.
❹ Save the file, then upload it back into Zipline.
❺ Review the list of workers Zipline has read from your file, then confirm to add them all.
ℹ️ Make sure each worker has a valid email address and mobile number. This is how Zipline contacts them to complete their compliance, so getting these right up front saves chasing details later.
Inviting your workers to comply
Send a compliance invitation
❶ From the Compliance tab, find the worker (or workers) you want to invite.
❷ Select the worker. You can choose to send an email, send an SMS, or generate and share a direct link.
Completing your own compliance
As well as managing your workers, you also need to meet your own compliance obligations. You can view and upload any documentation required from your business directly in the Supplier Portal.
Upload your compliance documents
❶ From the home page, find the Compliance tab on the left-side menu.
❷ Next to Overall Company Compliance, click View.
❸ Review the list of outstanding documents you're required to provide.
❹ Click Add next to an item and upload the matching document from your computer.
❺ Repeat for each item until everything required has been submitted.
After you upload your documents, they're reviewed in Zipline. You'll be notified if anything needs to be corrected or resubmitted.
Other actions you may need to take
Beyond onboarding and compliance, there are a few situations where you may need to take action. Zipline will notify you by email and/or SMS when one of these comes up.
Resolve a non-compliant check-in
If one of your workers checks in at a site while non-compliant, you may be notified as the compliance contact. This usually happens when a worker has missing or expired documentation that needs to be sorted before they can work on site.
When this happens:
❶ Read the notification you received by email and/or SMS.
❷ Log in to the Supplier Portal and find the worker it refers to.
❸ Either upload the missing documentation on their behalf, or contact the worker directly and ask them to upload it themselves.
❹ Once the documents are submitted and approved, the worker is cleared to check in.
ℹ️ Until the compliance issue is resolved, the worker stays non-compliant and may be unable to access the site.
Link an unrecognised worker
If someone checks in at a site but hasn't yet been added to your account, you'll be notified to confirm whether they belong to your company.
When this happens:
❶ Read the notification you received by email and/or SMS.
❷ Log in to the Supplier Portal and find the pending worker notification in the Compliance tab.
❸ If they work for you, confirm and link them to your account. If they don't, reject the request.
❹ Once linked, you can invite them to complete their compliance checks.
ℹ️ Keeping your worker records up to date helps you avoid these situations. Adding workers before they arrive on site makes for a smoother check-in for everyone.
Turn off contractor notifications
If you prefer to manage a contractor's compliance on their behalf, you can choose which Zipline notifications they receive.
❶ Go to the Compliance tab.
❷ Click the contractor whose notification settings you want to manage.
❸ Scroll down to the Notifications section.
❹Tick or untick Email and SMS, depending on what you want the contractor to receive.
❺ Your changes save automatically.
Add other users or administrators
If you own the account, you can give other people access by adding them as users.
❶ Go to the Users tab in the left-hand menu.
❷ Click Invite new user.
❸ Enter the person's details and assign them the relevant role.
❹ Click Add to send their invitation.
