Managing New Roles, Compliance  Changes, and Locations

Learn how to review your compliance setup and update flows by adding or removing checks in the Compliance Matrix.

1. Reviewing Your Existing Compliance Setup

Use the Compliance Matrix to understand your current configuration before making any changes.

Steps:

  1. Open the Compliance Matrix

  2. Filter the matrix to view specific checks, roles, or flows.

  3. Export the matrix for a detailed review. Actions > Export CSV

  4. Identify affected flows, for example, flows that contain a check you want to remove or update.

  5. Create a list of required changes before beginning updates.


2. Adding or Removing Checks from a Flow

Use the flow editor to update the checks applied to a specific flow.

Steps:

  1. Open the Compliance Matrix

  2. Select the flow you want to update.

  3. Go to the Checks section in the flow view.

To remove a check:

  1. Click Edit

  2. Select Remove from Flow

To add a check:

  1. Click Add New Check

  2. Choose from the list of existing checks configured for your organisation

Note: Edits to the content or rules of an existing check must be completed by the Zipline team.


3. Managing New Roles / Positions

Route A — New Role with Same Compliance Checks as an Existing Role

Steps:

  1. Create the new role

    Settings > Quickstart Preferences > Roles > Edit

  2. Add the role to an existing compliance flow

    Settings > Compliance Flow > Select Flow > Add New Role

  3. Rename the flow to a generic name (optional)

    Edit Name


Route B — New Role with Different Compliance Checks

Steps:

  1. Create the new role

    Settings > Quickstart Preferences > Roles > Edit

  2. Create a new compliance flow with the appropriate checks

    Settings > Compliance Flow > New Template > Add Location & New Role > Add Checks


4. Updating Compliance Checks for Existing Roles

Route A — New Checks Match an Existing Compliance Flow

Steps:

  1. Check whether the role is in a compliance flow.

  2. If yes:
    a. Remove the role from the grouped flow
    b. Add it to the flow with matching checks
    c. Rename the flow if needed

    Settings > Grouped Compliance Flow > Remove Role
    Compliance Flow > Add Role > Edit Name

  3. If no:
    Add the new requirement directly to the existing flow

    Compliance Flow > Add New Requirement(s)


Route B — New Checks Do NOT Match Any Existing Flow

Steps:

  1. Check whether the role is in a compliance flow.

  2. If yes:
    a. Remove the role from the grouped flow
    b. Create a new compliance flow for the updated checks

    Settings > Grouped Compliance Flow > Remove Role > Create New Compliance Flow

  3. If no:
    Add the new requirement directly to the current flow

    Compliance Flow > Add New Requirement(s)


5. Adding New Locations

Steps:

  1. Contact Zipline Support to request new locations

  2. Include the following details:

    • Location name and address

    • Which compliance flows should apply

    • HRIS Location ID (if applicable)


6. Adding / Updating Checks

Steps:

  1. Contact Zipline Support for any new checks or updates to existing checks

  2. Provide details of the new or updated requirement so the Zipline team can configure it for you.

Note: Check creation and modification are fully managed by Zipline.


7. Determining Which Compliance Flow a New Role Should Use

Steps:

  1. Filter the Compliance Matrix by Role to find an existing role with identical checks.

  2. If still unsure, filter the matrix by the checks required for the new role and select the flow that best matches.
