Introduction
Zipline integrates with systems that are your source of truth for your workforce, and then manages their compliance checks and compliance status. This article walks through how profile states (e.g. on leave, archived) and lifecycles (i.e. Applying, Starting soon, Active and Offboarded workers) are represented in Zipline.
The profile state and lifecycle can be viewed at the top left of screen when reviewing a specific profile.
This article is only for customers who have an integration with their HRIS.
Note: Profile states and lifecycles are completely separate to the status and state of an application.
State
This relates to whether a person is on leave or archived for your organisation:
On leave people are defined as anyone who is within their leave start date and before the leave end date, or otherwise marked as on leave by an integration. Note, ongoing compliance reminders send to these pause for these people and recommence within 30 days of their return, where this is specified.
"Archived" is used for housekeeping for profiles that are for historical records, e.g. candidates who applied and were never hired, or employees who have been long since been offboarded.
Note: For ultra-clarity, there are cases for certain HRIS integrations where a profile may be "Archived" (such as an Offboarded worker) but allow for a new application to be created (such as for a rehire scenario). This will not have any impact on your ability to progress an application, unless the application itself is archived.
Lifecycle
This relates to where in the journey of working for your organisation a worker is.
Applying
This is for people that are not actively working for or scheduled to work at your organisation, and have not previously worked at your organisation.
Zipline bases this on people who do not yet have an External ID (e.g. Employee ID for Employees) assigned by an integration.
Note, internal hires going through compliance are still reflected as "Active".
Starting soon
This is for people that are scheduled to work at your organisation.
Zipline bases this on people who have an External ID (e.g. Employee ID for Employees) assigned by an integration and/or a start date in the future.
Active
This is for people that actively work at your organisation.
Zipline bases this on people who have an External ID (e.g. Employee ID for Employees) assigned by an integration and/or a start date in the past.
Offboarded
This is for people who have previously worked for your organisation.
Zipline bases this on people who have an External ID and a termination date in the past.
Managing People State & Lifecycle Data
Data for people state and lifecycle can only be managed in your HRIS. Once data is updated there, it will reflect in Zipline within 24 hours.
